Information we process
Depending on how you use the service, we may process your name, email address, application address or postcode, planning reference, notification dates, factual descriptions, selected planning concerns, order and payment status, correspondence, support requests, and technical security records such as timestamps and limited connection data.
Stripe processes card details through the checkout; we do not need to receive your full card number. If you upload your yellow planning letter, the document may contain names, addresses and planning information. You should remove unrelated information where practical.
Where information comes from
Most information comes directly from you. We may also obtain public planning information from official Local Planning Authority websites or authorised public planning-data services to check the application reference, address, proposal, status or dates.
Why we use it and our lawful bases
- Contract and steps before a contract: to run eligibility checks you request, process an order, prepare and deliver the document bundle, provide a factual revision and handle support.
- Legal obligation: to keep records required for tax, accounting, consumer-rights or dispute purposes and respond to lawful requests.
- Legitimate interests: to secure the service, prevent fraud and duplicate fulfilment, diagnose faults and protect legal claims, where those interests are not overridden by your rights.
- Consent: only where we offer a genuinely optional activity that requires it. You may withdraw consent, but this does not affect earlier lawful processing.
Service providers
We use specialist providers to host the website, collect forms, process payments, automate fulfilment, assist with controlled document generation, create PDFs and deliver email. The expected providers include Wix, Tally, Stripe, Make, OpenAI, PDF.co, Namecheap PrivateEmail and private Dropbox archives. They receive only the information needed for their role and must handle it under appropriate contractual and security controls.
Some providers may process information outside the UK. Where that happens, we will use a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, and review the safeguards for the relevant service.
Controller
Roland Sullivan trading as NeighbourObjection.co.uk is the controller. Contact: Suite 754, 80A Ruskin Ave, Welling, DA16 3QQ; hello@neighbourobjection.co.uk.
How long we keep information
Unpaid or unsuccessful intake records are intended to be deleted or irreversibly anonymised within 30 days unless they are needed to investigate security, fraud or a complaint. For completed orders, necessary contract, payment, consent, delivery, final-toolkit and related correspondence records are retained until the later of six years after service completion or five years after the relevant 31 January Self Assessment filing deadline.
A legal claim, complaint or statutory duty may require a temporary hold beyond the normal period; any hold must have a recorded reason and review date. Temporary letter-upload records expire after one hour. Expiry does not itself confirm deletion from every service provider. Details extracted from a letter follow the draft or order retention periods above.
Assistant and saved details
The automated assistant and manual form use the same private draft, so you can move between them without entering everything again. Essential session cookies protect and recover your details on the same device. The session ends within 24 hours without activity and no later than seven days after it starts. Unpaid drafts follow the 30-day limit above.
Suggested facts need your explicit review and confirmation. The assistant receives only the information needed for the request; your delivery identity is excluded from general planning assistance. Do not enter card details into chat. We do not use your private case information to create marketing content or share it in optional analytics.
Optional analytics can be declined without stopping an order. You can request an email return link to your confirmed email address. It can be used once and expires after 24 hours. Unpaid drafts are not kept in long-term customer-order backups.
Optional Google Analytics — added 13 October 2026
With your separate consent, Google Analytics measures website visits, clicks to start an order or free check, and verified purchases. It receives device information, page paths without query strings, the referring website's origin and an anonymous purchase reference and value. We exclude form contents, planning case details, contact information and uploaded documents. Automatic enhanced measurement, Google Signals and personalised advertising are off. You can withdraw consent through Website analytics choices on our Cookie Notice. The notice explains the 30-day browser storage settings. Google may process received information outside the UK under its applicable terms and safeguards; see how Google uses information from partner sites.
Your rights
Optional advertising measurement
With your separate consent, we use Google Ads measurement to understand which advertising visits lead to completed purchases. The Google tag loads after you allow measurement. Google receives ad click and device information, page addresses, the purchase value and an anonymous transaction reference. We do not include your planning case, identity, contact or card details in the purchase event. Personalised advertising and enhanced conversions are switched off. Nextdoor measurement is not enabled.
Your choice and this site's advertising measurement identifiers are configured for a 30-day period. Google handles received information under its applicable terms and retention policies; see Google's explanation of data from partner sites. You can withdraw permission through Advertising measurement choices in the footer without affecting your check or order. Withdrawal stops future collection from this browser; it does not reverse earlier consented processing. The Cookie Notice explains storage and removal.
Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive portable data; and withdraw consent. Some rights are limited where information must be kept by law or for legal claims. Email hello@neighbourobjection.co.uk to make a request.
You may also complain to the Information Commissioner's Office.
Automated checks
The website may automatically confirm eligibility, allow you to continue with a warning, or block payment using the information supplied and available official data. This is a service-scope check, not a planning decision or prediction of success. It does not produce a legal or similarly significant decision about you.
Security and updates
We use access controls, data minimisation and service-status safeguards designed to reduce unauthorised access or accidental disclosure. No internet service can promise absolute security. We will update this notice when the service, providers or legal requirements materially change.
